REGISTRATION INFORMATION: Registration will ONLY be accepted online. Mail in registrations will not be accepted. Please contact the Vendor Rep if this is a problem.

Vendor Agreement

The following are the Standard Operating guidelines for participation of Vendors in the Colorado Wildland Fire & Incident Management Academy.
Please read and sign the following document and return to the Academy Vendor Liaison.

A.    Registration

a.    Registration will be available as soon as the location of the next Academy is known. We may take advanced registrations at the current Academy
b.    All vendors must register on-line. Mail or Fax registrations are no longer accepted. There are several people involved with receiving the registrations, this way the online registrations go to all involved.
c.    Vendors must register by deadline to be guaranteed a space. Often space is limited so this is a first come first space basis. Core vendors have first choice.

B.    Check-in/Demobilization

a.    The Colorado Wildland Fire Academy & Incident Management Academy is run as an incident. Therefore, all participants must go through the Check-in and Demob process. You will receive your name tags for the registered participants from your company at Check-in. These name tags will be used for meals.
b.    If additional name tags are needed please contact the Academy Coordinator.

C.    Fee’s

a.    8’ x 10’ booth space = $300.00
b.    Table top space = @200.00
c.    Additional spaces = $100.00 per space
d.    Additional meal tickets = $15.00 per person – per day
e.    Additional outside space = $50.00
f.    Fees for current Academy will be announced as soon as they are known and will be posted on the web site.

D.    Sales Tax

a.    All sales tax will be collected at the end of the academy, the Vendor Liaison will be notified of the percentage and collection procedures
b.    In most cases, the Vendor Liaison will have the procedure set up to assist you in these collection efforts.

E.    Academy and Vendor Liability

a.    LIMITATION OF LIABILITY:  The exhibitor agrees to make no claim for any reason whatsoever against the UAVWF or Canon City High School and/or the City and/or State wherein the Show is held, for loss, theft, damage or destruction of goods, nor for any injury to himself or employees while the Academy is in progress, being set up or taken down.  Exhibitor agrees to indemnify and hold harmless UAVWF, Canon City High School and the City where the Academy is held, and their employees, against any and all claims of any person, arising out of acts, omissions or negligence of exhibitor, its agent or employees.
b.    LIMITATION OF EXHIBITS:  The academy coordinator reserves the right to stop or remove from the academy any exhibitor, or his representative, performing an act or practice which in the opinion of the coordinator is objectionable or detracts from the dignity of the academy or is unethical to the business and educational purposes of the academy.  The academy coordinator reserves the right to refuse admittance of exhibits or materials until all dues and fees owing are paid in full.

F.    Vendor Space

a.    Vendor space will be approximately 8’ x 10’ booth space with 1 table and 2 chairs.
b.    Additional space may be available depending on location
c.    Outside space no extra charge when an inside space is purchased. This space is limited to 2 vehicles or pieces of equipment. If additional space is needed then space may be purchased if space available (see fees above)
d.    Electrical is free with booth space when available. Electrical will be available for those vendors with “must have” needs first. Examples are cash registers.
e.    Vendors are responsible for their own electrical cords and surge suppressers. The Academy is not responsible for any electrical problems or damage to vendors electrical equipment. All cords and electrical equipment must be of sufficient size for the need.
f.    Vendor Liaison has the option of having an electrical installation inspection be the local Fire Jurisdiction to ensure compliance and safety.
g.    Vendor space includes breakfast and lunch for 2 people. If the vendor has more than 2 people in their booth they will need to purchase additional meal tickets.
h.    It is the Vendors responsibility to inform the vendor liaison of any additional participants that will need meal tickets.

G.    Additional Events

a.    From time to time there are additional events that will be held in conjunction with the Academy. At times these events are included in the vendor space fees and other times they will be additional: Examples are:

i.     Banquet
ii.    Vendor day
iii.    Bar-B-Q’s
iv.   Golf Tournement

b.    The vendor Liaison will keep you informed of these events and how you can participate.

H.    Additional Participation

a.    From time to time some vendors will participate and assist in the Academy. If you are a vendor and participate in other ways with the academy, i.e. instructing, assisting in field days. The following are some additional requirements.
b.    All vendors shall pay the Vendor fee no matter what participation. The vendor is responsible for negotiation of any additional benefits with academy coordinator.


I.    Vendor liaison

a.    The Vendor Liaison is there to assist the vendors with registration, set-up, and other issues. Please contact the Vendor Liaison if there are any concerns or problems before contacting any other Academy staff.
